JOB DESCRIPTION
This new position will be an important addition to the Enrollment team as a combination role as a Program Enrollment Coordinator and an assistant to the Enrollment team. As an administrative assistant to the Enrollment team, you will be partially responsible for student communication across all programs, processing and inputting documents, transcripts, and advisor approvals into our student management platform, some communicating with parents and universities, registering all students for their onsite insurance policy and assisting with advising on financial aid, invoices, student visas, and housing for CIS Abroad programs. As a Program Enrollment Coordinator, you will be responsible for reviewing applications, overseeing student communication, advising students on course registration, communicating with parents and universities, and assisting with advising on financial aid, invoices, visas, and housing for CIS Abroad programs in the program region during the pre-arrival phase. A successful candidate will be able to work effectively as a member of the team, should be able to take direction well, and should possess strong organizational skills. This role will report to the Program Enrollment Manager.
SPECIFIC DUTIES
Team Assistant Duties
- Help to manage a program enrollment team/admissions email inbox
- Answer student inquiries
- Process application pieces and forms and other relevant information for the Program Enrollment Coordinators
- Proactively communicate with applicants via email and phone
- Assist PECs with visa paperwork or processing when needed
- Answer basic questions on financial aid, invoicing, payment deadlines, and payment plans with the support of the Finance Team and the Program Enrollment Coordinators
- Process forms received from our US university partners required to enroll in any of our programs
- Assist students that are having problems logging into our student application management system (Salesforce)
- Assist with housing placement and sending housing letters
- Send course registration confirmation letters to students
- Enroll students in their overseas insurance plans
Advising & Admissions
- Answer student inquiries
- Process applications including forms and other relevant information
- Make and/or facilitate timely admissions decisions
- Proactively communicate with applicants via email, text, and phone
- Advise students on all matters related to their acceptance onto a program
- Follow up with students that are at risk of withdrawing from the program
- Withdraw students that are no longer able to go abroad: often this will mean working with other teams, like Finance Support and International Operations
- Implement strategies with the overall Enrollment Team and Marketing & Communications to achieve high applicant-enrollment conversion rates
- Answer basic questions on financial aid, invoicing, payment deadlines, and payment plans with the support of the Finance Team
- Be well versed in the visa requirements and processes for the region, advising students where necessary
- Invoice all accepted students in a timely manner
- Ensure all accepted students are handed off to the International Operations team in a timely manner
Coordination for Region
- Liaise with overseas partners about enrollment numbers, course registration processes, deadlines and onsite activities.
- Communicate with the local Site Directors and International Operations leaders on potential student issues
- Book and confirm housing
- Enroll students in courses and develop enrollment procedures with overseas partner universities
- Submit program updates when program details change
- Meet with the International Operations team weekly to coordinate pre-departure with onsite needs
Program Information
- Organize pre-departure meet and greets with SDs and IOADs
- Ensure all programs and terms are turned on in Salesforce and ready to accept applicants
- Liaise with the faculty-led programs team on items such as, but not limited to: itinerary suggestions, reservation assistance, group preparation.
- Be a champion for your program locations: know it, love it, live it!!
- Review marketing materials for accuracy as needed, such as but not limited to: Website program pages.
- Maintain SOPs on all aspects of the role
- Update program guides with relevant program information on any and all tasks that are owned by this role and be the go to person inside the organization for this information
- Collaborate with other CIS Abroad departments on promotion of study abroad programs.
- Answer CIS Abroad staff questions via Slack as necessary
Internal Organizational Work
- Liaise with teammates and assist with workload, as needed
- Meet with Program Enrollment Coordinators weekly to discuss what tasks to complete that week
- Communicate with Enrollment team on Slack channels as necessary
SUCCESS TARGETS
- Conversion rate for students exceeds company standards
- Enrollment process is seamless and high quality for all in-bound students
- Participant Communication is accurate and done within 24 hours
- All participants are ready for arrival
- Programs are ready to turn on for future terms
- Meets target of number of applications processed by term
- Exceeds company standards of number of responses of evaluations returned at a high satisfaction rate
REQUIRED QUALIFICATIONS & SKILLS
- Legal ability to work in the US
- Bachelor’s degree or equivalent work in international education
- Excitement and passion for travel and study abroad - keeping our students engaged
- Strong organizational skills
- Exceptional verbal and written communication skills
- High attention to detail with a quick and efficient workstyle
- Ability to adapt to changing demands and priorities

PREFERRED QUALIFICATIONS
- Experience studying, working, or living abroad
- Administrative, organizational, and problem-solving skills
- Comfort with databases/CRM software, especially Salesforce and Hubspot
- Familiarity with Google suite of products, and Slack
COMPENSATION & BENEFITS
- Annual salary of $49,000-$52,000
- Approximately 40 hours per week, with schedule agreed upon with your team leader
